Keep project records from becoming a receipt pile

Capture receipts, dated weights, feed costs, and short notes while they are still easy to find, then transfer what the official book asks for.

Record the purchase while the amount is handy

For each expense, record the date, amount, and the category your local book uses. Add a short note without private family or buyer information. Enter it while the receipt is still with the project papers.

Feed deserves its own running total because official books often separate feed and non-feed expenses. BarnMath does not decide which local category a purchase belongs in.

Keep a paper capture spot at the barn

Keep one envelope or folder at the barn for receipts and quick notes when entering them on a device is not practical. Move those entries into the project log on a regular schedule.

Keep private family information, buyer contact details, usernames, passwords, and animal-health records out of the shared worksheet and BarnMath printout. Keep required treatment, medication, and withdrawal records in the official animal-health or project record named in the current program instructions.

Review the totals before the deadline

Check category totals during the project, not only at the end. If a month is blank or a total jumps, check it while the receipts are still together.

Use sample books to see how a completed record looks. Do not copy another exhibitor's entries. The exhibitor should be able to explain the entries and project math.

Transfer only what the official system requests

Print the BarnMath summary, then copy the required dates, totals, and notes into the official record book, AET, or local form. Keep the source receipts according to local instructions.

BarnMath is a helper sheet, not an official, approved, or compliant record book. Check the current official fair, school, AET, club, or program instructions before turning anything in; ask an advisor to help clarify them.

  • Receipt dates and amounts

  • Required treatment and withdrawal records kept in the official location

  • Local instructions checked before transfer
